 | Information Lifecycle Management (ILM) is the management of information throughout its life cycle..
The creation of Information is done by an employee within the company. Following the creation of information, there is a requirement for secure storage. The storage of information depends on its type as well as its format.
Companies maintain three types of information – Operational, Transitional and Reference.
Operations information is generated within the company and is required to be maintained. This information is regularly accessed and its retention is as per statutory and organizational requirements.
Transitional information is generated within the organization, but has a shorter lifespan as its utility is for a limited period.
Reference information is collated from various sources that could be internal as well as external to the company. This information is required to be maintained for a long term basis and is only accessed as and when required.
Corporate Information is generated as classified above and following its generation, the information is stored. Physical storage of paper must be done in a secure location after indexing the information, with a hierarchical access defined and implemented.
Information in storage can be converted to an electronic copy or archived as required. The information that is archived would be searched and retrieved as per the requirement. On retrieval of information, the information could be updated or reviewed and then put back into storage.
At the end of its lifecycle, the information that has been archived must be destroyed in a secure manner.
